Research University Gains Control Over Employee Payroll Documents

A leading research university in Atlanta, Georgia and their outsourced, imaging provider turned to PaperHost for hosting personnel forms for a required project.
The Problem
The university was scanning the documents into PDF format using existing scanners and multifunction devices at their location and providing these to the service provider for indexing. The university needed a solution for securing and accessing these documents during the transition to a new internal payroll system that was going to take months to deploy. Security was the number one priority, but the interim solution had to be fast and responsive to their needs.
The Solution
Working with their service provider, PaperHost stepped in with a cost effective, secure solution that was deployed in just a few days. The university scans documents; the service provider indexes them with pertinent information such as name, department, ID number and others. Then, on a daily basis PaperHost picks up the images and the metadata from a secure FTP site, merges the images together with the metadata and places them on PaperHost.
Summary
Authorized university staff have immediate access to the personnel forms needed to perform their daily tasks. The account administrators utilized the PaperHost robust security architecture with the ability to assign rights and privileges to each staff member as to the functions they can perform within the system. The PaperHost reporting capabilities provides user activity reports for compliance regarding when a document was accessed, by whom and what function was performed on the document. PaperHost provided the university a secure, affordable solution.
