It is then uploaded and queued for indexing anywhere in the world by persons with the institutional knowledge and training to correctly index the documents. On-Line, Worldwide - With security reigning king, PaperHost insures that access to your documents is tightly controlled to authorized operators. Pages are delivered to the indexing station with high encryption. This means you can open the tedious task of document indexing to home based workers, off-shore outsource operators or anyone with a high-speed internet connection.
Batch Control - Online indexing teams can now control the flow of work to insure that documents are distributed to the members in controlled batches where both security and production metrics can be tracked and reported. It is important to know who indexed each document and how much work is getting done. Batches can carry identifiers from our phUPLOAD tool and from the phINDEX tool so organizations can track batches from the scan room all the way through indexing and presentment.
Selective Page Delivery - The biggest hurdle with web-based indexing has been BIG documents. If it takes too long for the document to download and appear on the screen, precious time is wasted. phINDEX allows you to set up indexing profiles that default to delivering only a selected number of pages - usually page one. Since most indexing information is located on the first page(s), this can greatly increase production and lower the cost per document to index.
Point-And-Shoot Indexing - A powerful add-on tool integrates phINDEX with the Captaris Single Click engine to instantly OCR the page so that the index operator can simply click on a data value located anywhere on the document and have that value appear in the index field. So if the document contains typewritten information to which you can point or rope with the mouse, then no keying is needed. The page is "read" and the value copied to the appropriate index field. This sends character counts through the roof for your production teams.
Linking to Existing Data - A phINDEX profile can be configured to accept a keyed value from the operator which is then used as a lookup into a table to retrieve additional values without any additional keying. For example, a social security number that brings back name information. Not only does this reduce the cost of keying, it also gives immediate visual feedback to the operator that the SSN keyed matches the name of the person on the document.
Field Level Validation - Various tools with phINDEX control the input to certain index fields so that accuracy is maintained. This can take the form of pull-down menus offering a fixed list of legal values. It can mean carry forward values that don't change as you move document to document unless changed by the operator. And it can mean simple rules like date validations or required string patterns.
How nice to finally have a way to separate the jobs of scanning and indexing. And if you already have digital documents in the form of PDF files or scanned TIFF images, you can upload and index them too.
